ID Monitor

ID Monitor – User Guide

ID Monitor is a PAYA Group app designed to track an individual's transactions made on a payment device. It provides enhanced security and audit tracking, making it ideal for the hospitality industry and many other sectors.


Getting Started

Users log in to the ID Monitor app using their personal PIN. Based on their assigned permissions, they can process either payments or refunds.

Key Features

  • Secure Login: Each user must enter their PIN before every transaction. Once the transaction is completed, the user is automatically logged out.

  • Transaction Control: Only users with the appropriate permissions can initiate refunds or payments.

  • Device Security: The app ensures devices remain locked during periods of inactivity, helping to prevent unauthorised use.

  • Audit Trail: Every transaction is logged by user, enabling detailed tracking and reporting, available on both our dashboard and the ID monitor app.

Role Permissions

  • ID monitor supports three levels of user permissions:

    • Staff – Can process sales only

    • Supervisor – Can process sales and view reports

    • Manager – Full access including sales, refunds, reports, and back office administration

Admin Dashboard & Portal

Organisations can manage their users and monitor activity through the dashboard:

  • Transaction History: View detailed records of transactions by individual users.

  • User Management: Create or delete users as needed.

  • PIN Management: Generate new PINs if one is forgotten or compromised.


Back Office Administration

Logging In & Creating a New ID Monitor User

  1. Login to the Dashboard Access your organisation's dashboard and log in using your administrator credentials.

  2. Navigate to ID Monitor From the side panel, select ID Monitor to open the relevant management section.

  1. Add a New User Click on New ID Monitor User to begin the user creation process.

  1. Complete User Details Fill in all required fields in the Create ID Monitor User form, including user name, email address, and role. The User PIN will be automatically generated when the user is created.

  1. Finish Setup

  • Click Create to complete the setup for a single user.

  • Or, click Create & Create Another if you wish to add multiple users consecutively.


App Transaction Logs

  1. Login to the Dashboard Access your organisation's dashboard and log in using your administrator credentials.

  2. Navigate to ID Monitor From the side panel, select ID Monitor to open the relevant management section.

  1. Access Transaction Logs

Select the App Transaction Logs menu.

  1. Filter and Export Data

Use the available filters to select the specific dataset you need. Reports can be exported in CSV format for further analysis or record-keeping.

  1. Transaction Report Headers

Each exported report includes the following data fields:

  • Transaction Date & Time

  • Transaction ID

  • Device Serial Number

  • Terminal ID

  • Location (e.g. Bar, Reception)

  • Town (e.g. City or site where the device is used)

  • Sale Amount

  • Status (e.g. Authorised, Declined)
